Terms and  Conditions

Bookings

The application for a show should be received by us at least 14 days before a show. The application for a workshop or a walking act should be received by us at least 7 days before the desired date. After receiving the application, we will send a no-obligation quote. The agreement to the quote should be sent at least 14 days before the show or 7 days before the workshop/walking act through email, by a digital or written and scanned signature. As of the 1st of January 2026, we request a deposit of 50% for quotes of €500,- or more.

Gift vouchers

We offer gift vouchers for workshops. This is possible for both a specific workshop and a certain monetary amount to be spent on a workshop of choice. All vouchers are transferable and valid for 1 year after date of purchase.

When booking a workshop using a voucher, the booking must be made in writing through email and the voucher code must be mentioned. The booking email must at the latest be sent 7 days before the desired date. Please bring the voucher either printed or digitally to the appointment. The monetary amount must be spent all at once. If the workshop takes place at the customers' own location, please be aware of additional travel costs.
Cancelling a workshop which was booked using a voucher is possible up until 48 hours before the appointment.  After this period the voucher will be cancelled without refund. The voucher cannot be exchanged for money. Every change to the voucher will invalidate it. It is not possible to buy another voucher with a voucher.
If a workshop, booked by using a voucher, cannot take place due to reasons from Fire & Glow Entertainment, such as prolonged illness or bankruptcy, the voucher will be cancelled and the monetary value will be refunded.

Cancellation

After signing the quote, a written notification is necessary for the customer to cancel. Cancellation is free of charge until 7 days before workshop or walking act dates and 14 days before showdates. After this period 50% of the quotation amount excluding travel expenses will be charged.

When cancellation happens within 48 hours before the appointment, 100% of the costs, travel expenses excluded, will be charged. When cancellation happens on the day of the appointment, full costs including travel expenses will be charged.

A deposit will not be refunded if the customer cancels an appointment. For the remainder of the costs the cancellation terms mentioned above are applied.
When Fire & Glow Entertainment cancel an appointment due to force majeur, the deposit will be refunded.

Unforeseen circumstances

In case a show cannot take place due to reasons from Fire & Glow Entertainment or serious force majeure, such as illness, government instruction or public transport strikes, the agreement is cancelled without any charge.

In the case of a show outside, we apply rules for the weather circumstances at which we will not perform. In such a case, 50% of the quotation amount will be charged, unless the show can be moved to another date withing 2 weeks after the original date in agreement with all parties.

The weather circumstances at which the show will be cancelled are:

  • Temperatures below 0°C and above 32°C

  • Wind force 4 bft or more

  • Heavy rain (more than drizzle) and any other form of precipitation including glazed frost

  • Thunderstorms

If an unsafe situation arises by the audience or otherwise, we are entitled to immediately stop the performance, in which case full agreed price is still to be paid.

No-show (workshops)

In case the participant(s) of a workshop is/are not present at the starting time of the workshop, the following rules apply:

  • Arrival withing 15 minutes after original starting time:
    no consequences; The ending time of the workshop will be moved forward the same amount of time the participant(s) arrived later.

  • Arrival between 15-30 minutes after the original starting time:
    The ending time of the workshop will not be changed any further. Every minute after this period will be deducted from the total workshop time. The total quote price will still be charged.

  • Arrival after 30 minutes after the original starting time:
    This is considered a no-show, and the workshop will therefore be cancelled. The full quote price will still be charged. Exception to this rule is when the participant(s) can prove force majeure after departure, such as severe public transport delays, severe traffic jams or other severe troubles during the travel. We must receive clear proof of this before the next day.

 

A timely heads-up by phone call in the case of (suspected) late arrival is very much appreciated.

Liability

The client is responsible for the needed permits. If the performance cannot take place because of a lack of such permits, we are forced to cancel and charge the full agreed price.

Fire & Glow Entertainment can never be held accountable for physical or material damages. We are only liable in case of demonstrable intent or gross negligence.

In case our materials have been intentionally damaged or stolen, we will charge for the compensation.

Fire safety

For the use of fire materials the direct surroundings of the performance must meet specific conditions.

In case of an outdoor show:

  • The performance area has a flat surface of at least 5 by 5 meters and a height of 4 meters.

  • No flammable materials/objects must be present in the direct vicinity.

  • The distance from the edge of the performance area to the audience has to be at least 2 meters. 

In case of an indoor show:

  • All safety measures for an outdoor show apply.

  • The show can only take place in a spaceous and well-ventilated room/hall.

  • A direct escape route outside is needed from the performance room.

  • It needs to be considered that (hot) oil splatter can end up on the floor and walls. This is inevitable.

  • A separation between the performance area and the audience must be present by for example difference in height level or a fence barriers.

  • Fire and smoke detectors must be turned of temporarily.

 

We will always do a safety assessment of the perfomance area the day of the show. If adjustments are needed, they will be have to be applied before the start of the show. If the needed adjustment cannot be made in time, we will have to cancel the show. We, at all times, have the right to cancel a show when the safety conditions have not been met or we evaluate the area as insufficient. When a show has to be cancelled due to safety reasons, full price will be charged.

Refunds

Refunds are never possible when the show or workshop has not (completely) lived up to the clients, participants or viewers expectations.

Recordings

Photo and video recordings are permitted, if when publicly shared, our company name "Fire & Glow Entertainment" is clearly mentioned.
